How to Create A Recurring Task or Event in Notion

Whatever productivity system you`re building, its core element is a schedule containing specific events. It would be totally useless if we couldn`t create recurring events in Notion calendar that would eliminate the need to create the same event several times.

It turned out that one of the most popular and fancy personal productivity tools of modern time, Notion, doesn`t have a good in-built recurring event feature. This means you can`t create a repetitive task that automatically pops up in your calendar at a certain interval.
 
This can be fixed, however, with integration with automation tools like Zapier, Make, and others. In this article, I will explain how to create a recurring task in Notion database with the help of Zapier. I created a sample database in Notion called “Training schedule” for demonstration purposes. Our goal will be to create a recurring task in Notion calendar view that will be a reminder about a specific training type, which will pop-up every third day.

To do this, you should go to Zapier and create a new Zap.

When a Zap workflow page opens, you should first set up a Trigger.

Select Schedule (Schedule by Zapier). After you choose it, a select with frequency options will open, where you can see a few already predefined frequencies, such as every hour, every day, or every week.  If you would like to schedule something simple like a daily event, you can obviously choose one of these predefined frequencies. But if you want something more sophisticated, like, for example, every 3 days, like in our case, you can choose a custom frequency.

Choose the Necessary Frequency

After that, you click continue, and you`ll be directed to the next step, which is frequency type. Here, you also have just a few pre-defined daily, weekly, and monthly options.

If your frequency is closer to daily, like not every day but every third day, you should choose daily and set the interval to three days. As for the Start Day field, you can just type “Today,” and it should figure it out. Then, the time of the day is actually the exact time when every event will be created in your database. 

Then, you can continue and test your trigger. If all the marks are green, it means that the test is successful, and we can move to the Action settings. 

You must connect Zapier with your Notion account to set up the Action that will add recurring events to Notion calendar. 

If you don`t have secure pages you don`t want Notion to see, I recommend selecting “All pages” when connecting Zapier to Notion because sometimes Notion can`t see the needed database.

After we linked Zapier with Notion, we can proceed with Action settings. Here, we choose the necessary database, which is “Training schedule” in our case, and it obviously pulls up all the fields from our Training schedule database. 

Just fill in these fields, and then you may also test the Action. If the test is successful, you may publish it, and your first event will appear in your Notion database.

After that, it will appear automatically after each interval you set in Trigger. At the same time, all previous events will remain in the database.
